3 emails to have written when you've got your first consult call booked.


Getting these written up front will be so helpful while you manage your clients– aka you can spend more time on coaching and less on project management.


I love templates and structure. Unluckily for me, when I began Cleveland Flea (my business incubator) it grew so fast that I barely had time to catch my breath, let alone do much planning.

A cool thing about that is that I know 100% for sure that you can be successful without all the planning (so don’t let it stop you). But I also know that managing a busy coaching schedule is made easier by having a few emails set up and ready to go!

Now that I’m running a coaching business and not hosting 10,000 people in the middle of a parking lot I’m thrilled to get back to what I love– creating and planning.

When you’re new at running your own coaching business, you might not have everything you need in place– actually you won’t. And that is ok.

Today, I want to lead you through 3 emails that I love to have on hand to make communicating with my pre-clients speedy, professional and (hopefully) lead to a sale!

3 Emails to have written for pre-clients.

  1. I’m really excited to talk to you– let’s find out more about you.

  2. It’s almost time for our call!

  3. It was such a pleasure speaking with you.


“I’m really excited to speak with you– let’s find out more about you!”

This email is intended to find out more about your client before you speak. You could also put this into your booking calendar so that as a client books a discovery call, you capture information about them. Regardless of how you structure it– as an email or a form– it’s good to have this conversation. It allows your client to share what’s on their mind with you so that they know you’ll already be on the same page when you speak. It allows your client to know that you care about their thoughts and results. It sets a tone for clients of professionalism and care. They are hiring you for their own results. So, this truly sets the tone that it is about them.

Here’s the information I gather from my client (it’s a little bit different if it’s design work versus coaching)–

  • Name

  • Email address

  • Phone number

  • Ideal days / times to have recurring coaching calls

  • What’s on their mind

  • What we’re here to work on together– is it mindset work? Is it around a specific circumstance or result or thought?

  • Have they ever had coaching before? What was their experience?

  • Do they have any questions for me?

I try not to ask too many questions– I’m not trying to bog them down, after all. But I do want them to know that this is all important to me. That THEY are important to me.

I also provide–

  • An intro to what coaching is, and what it’s not

  • An intro to what consulting is, and what it’s not

  • What it will be like working with me

  • How I might be different from other coaches

  • Expectations around communication and preferred methods of communication

That is a wonderful place to build a lovely email or form for your clients as they book a clarity, discovery or mini-session coaching call.


“It’s almost time for our call!”

This is an appointment reminder. It’s such a nice auto-email to receive that I think clients will expect these days. Set it up via Calendly or Acuity. It can just be short and sweet, but make it personal. You can include a link for canceling or rescheduling for their convenience (it happens, y’all). It can share how excited you are to speak with them and invite them to take a breather and clear their schedule for your call. Just make sure they feel special. Oh- and of course include important info about the call (date, time, location, how to connect, etc.)


“It was such a pleasure speaking with you.”

This email, depending on how you work, can include links to booking your services, the amount of time you’ll hold their spot / price, a PDF on your services, options for working with you or even just that you’re not a great fit.

I send this right after a call if I can, which is why I usually like to have these emails written and kept in Gmail ready to personalize.

I want to make sure to thank my client and reiterate what I heard in our call, along with my recommendations for them.
